Mendocino Forest Products is looking for an experienced Administrative Assistant to join our flagship Calpella Distribution Center. The successful administrative Assistant will provide administrative and staff support to the business unit; responsible for applicable, internal and external DOT related compliance, truck driver payroll and reporting, responsible for setting up and maintaining all Outside Haulers for MFP, HRC & AWW companies.

  • Audits the Company Truck Drivers Daily Logs, DVIR’s and delivery paperwork to ensure accuracy and process accordingly;
  • Maintains database with driver haul data;
  • Prepares bi-weekly payroll for Truck Drivers;
  • Manage Outside Hauler relationships, address and resolve hauler issues, and review hauler invoice issues;
  • Set up, Organize & Maintain all Outside Hauler’s data and requirements for MFP, HRC & AWW companies;
    • Insurance Certificates;
    • CA Motor Carrier Permit & ICC Permit;
    • CSA Scores;
    • CARB Compliance;
  • Assists Management with interpretation of DOT requirements and company policy expectations for drivers;
  • Dispatches loads for MFP, HRC and AWW to various locations;
  • Close Attention to Detail;
  • Manages process and provides Fuel and Mileage reports for Company trucks monthly;
  • Organizes and maintains file system, files correspondence, retrieves data and other records;
  • Answers and directs telephone calls;
  • Processes all intercompany and external mail daily (including retrieval from post office or mail box on site); Routes incoming mail locates and attaches appropriate file to correspondence; Prepares outgoing mail including email and faxes as appropriate;
  • Assists with researching, compiling and providing, under guidance; statistical reports, including month-end;
  • Composes and types routine correspondence;
  • Manage & Distribute Phone Lists & Contact Lists;
  • Assist shipping department as needed;
  • Order and maintain office supplies, and arrange for equipment maintenance as directed;
  • Assists in dispatching loads to Home Depot.


  • One-year certificate from college or technical school; or a minimum of one-year related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence. Ability to speak effectively with customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Knowledge of Microsoft Office (Outlook, Word, Excel), Accounting software, Access Database or ability to learn accordingly.
