Mendocino Redwood Company (MRC) is seeking an organized, ambitious, and independent individual to provide support for our team of administrative and financial staff. The right candidate will thrive in a fast-paced environment and learn processes and skills quickly and thoroughly. Must be willing to learn or be knowledgeable of filing, data entry, spreadsheets, quality control, and general business correspondence procedures. Strong time management and interpersonal skills is a must for this position. Successful applicants will work directly with our financial analyst and administrative team who work on several projects at any given time, so this position will often work independently.

Responsibilities

  • Greet visitors and direct appropriately and professionally to their destination within the Companies.
  • Process all intercompany and external mail daily (including retrieval to/from post office as needed).
  • Route incoming mail accordingly.
  • Locates and attaches appropriate file to correspondence to be answered by employer.
  • Prepare outgoing mail including email and faxes as appropriate.
  • Composes, types, and maintains routine correspondence, make copies of correspondence or other printed materials.
  • Provide daily administrative support including greeting visitors, receiving, and making deliveries, arrange conference calls, coordinate office schedules.
  • Organize and maintain various safety documents and information, files correspondence, retrieve data and other records upon request.
  • Answer and direct telephone calls, record messages when necessary.
  • Provide support in preparing purchase orders, maintain relationships with vendors.
  • Organize and maintain file systems and file records.
  • Enters alphabetic, numeric, or symbolic data from source documents into computer following format displayed on screen and enters necessary information.
  • Compares data entered with source documents, or reenters data in verification format on screen to detect errors, compiles, sorts, and verifies accuracy of data that is entered.
  • Inventory, order and maintain supplies, and arrange for equipment maintenance as directed.
  • Assists with researching, compiling, and providing, under guidance; statistical reports, including month-end.
  • Cross train in other timberlands administrative positions

Qualifications

  • One-year certificate from college or technical school; or one-year related experience and/or training; or equivalent combination of education and experience.
  • Working knowledge of word processing, spreadsheets, basic accounting, internet and outlook software.
  • Must maintain and carry a valid California driver’s license and remain eligible to operate a company vehicle including automobiles and truck in accordance with company policy guidelines.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.

Physical Requirements 

  • While performing the duties of this position, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
  • The employee frequently is required to sit. 
  • The employee is occasionally required to stand; walk, stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 25 pounds. 
  • Specific vision abilities required by this position include close vision.
  • The noise level in the work environment is usually moderate.
  • May work in or around warehouse or production areas.
  • May require leather/rubber gloves, safety shores, hard hat, and safety vest, at times.
